Operations Assistant

Monument Lab is seeking a passionate, entrepreneurial individual to serve as the Operations Assistant. 

The Operations Assistant will serve as an integral member of the Monument Lab team, working to support and strengthen Monument Lab’s core nonprofit operational functions. The Operations Assistant will provide administrative, operational, and project-based support to the Operations & Administration Department and team. In this capacity, this position will support and advance the organization's financial, legal & compliance, human resource, and board management activities. This position will manage special projects as needed.

Additionally, the Operations Assistant will provide a high level of administrative support to the Chief Operating Officer.

This position is open to candidates with a variety of training paths and professional expertise. The ideal candidate will be interested in public art, public history, design, arts administration, and nonprofit leadership.

Responsibilities

Departmental Support (75%)

  • Provide a full range of administrative, operational, and project-based support to the Operations & Administration Department and team and support internal planning initiatives. 
  • Process invoices and reimbursements, assist staff with reconciliations. Onboard new vendors, and support procurement processes. 
  • Assist in the preparation and filing and organization of contracts, releases and related documents. 
  • Assist with recruitment and hiring, post job openings, and coordinate interviews. Assist with onboarding new employees, independent contractors and interns. 
  • Prepare materials and coordinate logistics in support of Board Management. 
  • Assist with office management and organize incoming and outgoing mail and packages.
  • Assist with planning and maintenance of the Monument Lab store, and staff pop-up stores at special events as needed.
  • Provide organizational and logistical support for programs and events to include assisting with planning and on-site / day-of support.
  • Special project-based work will be assigned as needed. 

 Executive Support (25%)

  • Proactively provide the Chief Operating Officer specialized support to include conducting research, developing templates, correspondence and document preparation, scheduling and travel coordination, expense management, and other administrative functions as needed.
Qualifications
  • One to three years of administrative experience. Bachelor's degree preferred.
  • Experience or interest in working with public art, public history, design, art administration, and nonprofit leadership is preferred.
  • Candidates must be highly organized, analytic and detail oriented. 
  • The ability to work independently and manage multiple short-term and long-term projects and deadlines simultaneously.
  • Strong communication and interpersonal and organizational skills that cultivate creativity, collaboration, and transparency. 
  • Candidates must be able to work at a fast-pace, be efficient with their use of time and be flexible to change & opportunity.
  • Experience with financial processes is preferred.
  • Proficiency in excel is required. Experience using project-management software such as Asana, as well as digital asset management software is preferred.
Position Type
The salary for this position is $60,000. Medical, vision, and dental benefits included, as well as an annual wellness stipend. All employees are eligible for 401(k) after one year of employment.
Location
This position will require in-office hours in the Philadelphia headquarters three days a week with flexible work schedule options.
